We believe your data belongs to you. When you delete your recordings, transcriptions, or summaries, they are permanently removed from our servers. Our goal is to give you the most convenient service while keeping your privacy intact.

Information We Collect

Account Information

When you create a CogNoted account using Google, we collect your name, email address and avatar. We use this information to set up and manage your account, enable access to your data on multiple devices, and communicate essential updates.

Audio Recordings and Transcriptions

When you record audio using Cognoted, we process and store your audio files, transcriptions, AI-generated summaries, and any notes you create. These files are stored until you delete them from the app. This allows us to stream the audio to you when you use cognoted

Usage Data

We collect information about how you use Cognoted, including features accessed, recording duration, and general app interactions. This helps us improve the service.

How We Use Your Information

We use your information to:

  • Provide, maintain, and improve the Cognoted service
  • Process your audio recordings and generate transcriptions and summaries using AI
  • Enable you to search, organize, and access your notes
  • Send you important updates about your account and service changes

How We Use Google User Data

When you register for CogNoted with your Google account:

  • We obtain your Google display name, email, and avatar. This information enables us to:
    • Set up and maintain your CogNoted account
    • Enable secure authentication and sync your data across devices
    • Deliver essential account notifications and CogNoted service updates
  • We limit our access to only your name, email and avatar from your Google account. Your Google account information is never used for advertising or promotional activities, and is not provided to external parties except as outlined in the services mentioned below.
  • We do not use data obtained from Google Workspace APIs to develop, improve, or train generalized AI or machine learning models.

Our Technology Partners

Cognoted uses trusted third-party AI services to transcribe your audio and generate summaries. Your audio data is transmitted securely to these services for processing. We work only with providers who maintain strong privacy and security standards.

We currently use:

  • Supabase: We securely store all information using Supabase's infrastructure. Customer data, including audio recordings, transcriptions, and text, is protected with AES-256 encryption when stored and TLS encryption during transmission. More details available here (https://supabase.com/security).
  • AssemblyAI: We utilize AssemblyAI's platform for audio-to-text conversion. Your audio files are transmitted for transcription purposes only and are processed temporarily and not stored beyond this purpose. Additional information here. (https://www.assemblyai.com/security)
  • OpenAI: We leverage OpenAI's AI models to create summaries based on your transcribed content. Your transcription text is processed by OpenAI to generate these summaries.   • Posthog: For service enhancement and usage analysis, we employ Posthog, an analytics tool built with privacy in mind. All collected interaction data is anonymized. (https://posthog.com/handbook/company/security)

Each of these service providers handles your information in accordance with their respective privacy policies and relevant data protection agreements.

How We Share and Transfer Information

External Service Partners:

  • Audio recordings are transmitted to AssemblyAI for speech-to-text conversion, while transcribed text is sent to OpenAI for summary generation.
  • Anonymized application usage information is provided to Posthog for analytics and service improvement purposes.

Your Data Remains Private:

  • Your personal information is never sold, leased, or shared with unauthorized external parties.

How We Protect and Store Your Information

  • All information is encrypted during transmission and when stored
  • Protected authentication systems
  • Continuous security reviews and monitoring to prevent unauthorized access
  • Rigorous access restrictions and oversight

Data Retention and Deletion

Your data remains as long as you maintain an active account. When you choose to delete content, all related data is permanently erased from our systems. Deleted information cannot be restored.
